Recommendations to optimize audit management

The aeronautical industry is characterized for operating following strict safety procedures and requirements, which is why audits are necessary to monitor quality standards in maintenance, as well as airworthiness of aircraft fleets.

The audits allow the authorities to guarantee compliance with current regulations, but they are also fundamental at the internal level of the company, to detect any deviation in the operation and take corrective and/or preventive measures.

The audit processes are diverse and affect manufacturers, contractors, operators, maintenance centers, among others. Its development requires qualified personnel and it is an extremely meticulous job that involves interrelation with various areas of the company, suppliers, regulatory entities, procedures and documentation.

1. Take a risk-based approach

We always recommend to focus on sensitive business areas, because if the risks are controlled, the entity will be within the limits established by the authorities. In the industry there is a mandatory regulation to comply with operational safety (2010 under ICAO Annex 19) which is the SMS, this method aims to guarantee the safe operation of aircraft by identifying hazards and managing risks. Which goes in hand with reliability (process management) and the implementation of quality systems, such as ISO 9001, to standardize processes.

2. The audit team must be qualified

The team must be competent, independent and uninfluenced. They must be knowledgeable about the processes and objectives of the organization, and very be able to communicate effectively with the different areas. In fact, it is mandatory in SMS that, in the organization chart, the person in charge of SMS reports directly to the presidency, to avoid stoppage in favor of operational safety and risk management.

3. Invest in a management system

We know that monitoring the management of maintenance tasks and fleet components logistics is a complicated task, due to the large number of elements that must be monitored. A system that supports this work will increase efficiency in not only auditing, but maintenance and operations in general.

4. Constant monitoring

The review and follow-up process must be continuous, to guarantee the effectiveness of the adjustments. That is why in the reliability system or quality manual of the company it is essential that the monitoring times are established.

5. Do not wait until the end of the audit to communicate the results of the report

Opportunities for improvement must be communicated in the audit process, changes and improvements cannot be left until the end of the process. The regulation even indicates that the organization must set out the control times, notification times and response times in the event of a non-conformity.
